BeExpertly ("we", "us", or "our") is committed to protecting your privacy and ensuring the security of your personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.

We comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the EU General Data Protection Regulation (GDPR) where applicable.

3. Information We Collect

3.1 Information You Provide

  • Account Information: Name, email address, username, profile picture, date of birth, and location when you create an account.
  • Profile Information: Bio, social media links, interests, and professional information for educators.
  • Payment Information: We do not collect or store your full payment card number. Card details are collected directly by Stripe, Inc. ("Stripe"), our payment services provider, and are processed in accordance with the Stripe Privacy Policy. From Stripe we receive only a payment token, the last four digits of the card, the card brand, and the outcome of the transaction.
  • International transfers: Stripe processes payment data in the United States and, for customers in the European Economic Area and the United Kingdom, through Stripe Payments Europe, Ltd. (Ireland). These transfers are made under Stripe's Standard Contractual Clauses and, where applicable, the UK International Data Transfer Addendum.
  • Communications: Messages sent through our platform, support requests, and feedback.
  • Content: Videos, images, and other content you upload or create on our platform.

  • Device Information: IP address, browser type, operating system, and device identifiers.
  • Usage Data: Pages visited, features used, session duration, and interaction patterns.
  • Cookies and Similar Technologies: See our Cookie Policy section below.
  • Invite Information: If you open an expert's invite link, which expert invited you and when. If you sign up in that same browser tab — or later, if you allowed invite-link cookies — we link that invite to your account; when you first buy from that expert, we record whether the purchase came through their invite (see sections 6.4 and 9).

4. How We Use Your Information

We use your personal data for the following purposes:

  • Service Delivery: To provide, maintain, and improve our platform and services.
  • Account Management: To create and manage your account, process transactions, and provide customer support.
  • Communications: To send service-related notifications, updates, and promotional materials (with your consent).
  • Expert Fees: To work out the platform fee on purchases from an expert whose invite link brought you, and to keep the records that explain it. It never changes the price you pay.
  • Safety and Security: To detect, prevent, and address fraud, abuse, and security issues.
  • Legal Compliance: To comply with legal obligations and respond to lawful requests.
  • Analytics: To understand how our platform is used and improve user experience (with your consent for non-essential analytics).

5. Legal Basis for Processing

We process your personal data based on the following legal grounds:

  • Contract Performance: Processing necessary to provide our services to you.
  • Legitimate Interests: Processing for our legitimate business interests, such as fraud prevention, platform security, and charging experts the platform fee we agreed with them (including the invite records in section 9).
  • Consent: Processing based on your explicit consent, such as for marketing communications and non-essential cookies.
  • Legal Obligation: Processing required to comply with applicable laws.

We use cookies and similar tracking technologies to enhance your experience on our platform.

6.1 Essential Cookies

These cookies are necessary for the website to function and cannot be disabled. They include cookies for session management, security, and load balancing.

6.2 Analytics Cookies

With your consent, we use analytics cookies to understand how visitors interact with our platform. This helps us improve our services. These cookies collect anonymous usage statistics.

6.3 Preference Cookies

With your consent, we use preference cookies to remember your settings (such as timezone and display preferences) to personalise your experience.

6.4 Invite-Link Cookies

When you open an expert's invite link, the open page holds the invite while it is open — nothing is saved to your browser's storage for this — so that if you sign up in that same tab, the expert who invited you gets credit. Only with your consent — given in the cookie banner or cookie settings — we also store two items in your browser: which expert's invite link you opened (used for up to 60 days) and when you last visited BeExpertly (used for up to 30 days), each deleted the next time you open BeExpertly after that. They let the expert get credit if you join on a later visit, and stop credit being claimed for people who found an expert on BeExpertly itself. They are never used for advertising or shared with advertisers. If you say no, or later switch them off, we delete them from your browser and you can still join and buy as normal.

7. Data Sharing and Disclosure

We may share your personal data with:

  • Service Providers: Third-party vendors who assist us in operating our platform (payment processors, cloud hosting, email services).
  • Other Users: Information you choose to make public on your profile or in communications.
  • Legal Requirements: When required by law, court order, or governmental authority. Section 15 explains how we handle those requests.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets.

We do not sell your personal data to third parties.

8. International Data Transfers

Your data may be transferred to and processed in countries outside the UK and EEA. When we transfer data internationally, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the UK Information Commissioner's Office or the European Commission.

9. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. When data is no longer needed, we securely delete or anonymise it.

Invite records. Once an invite is linked to your account, we keep which expert invited you and when, and whether your purchases from that expert came through their invite. These records decide and explain the platform fee on that expert's charges, so we keep them for as long as we keep the related financial records — even if you later switch off invite-link cookies, which only stops anything new being stored in your browser. They hold no device or location details. You can object to this use by contacting us (section 10).

10. Your Rights

Under UK GDPR and GDPR, you have the following rights:

  • Right of Access: Request a copy of your personal data.
  • Right to Rectification: Request correction of inaccurate data.
  • Right to Erasure: Request deletion of your data ("right to be forgotten").
  • Right to Restrict Processing: Request limitation of how we use your data.
  • Right to Data Portability: Receive your data in a structured, machine-readable format.
  • Right to Object: Object to processing based on legitimate interests or for direct marketing.
  • Right to Withdraw Consent: Withdraw consent at any time where processing is based on consent.

11. Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These measures include encryption, access controls, and regular security assessments.

12. Children's Privacy

Our platform is not intended for children under 16 years of age. We do not knowingly collect personal data from children under 16. If you believe we have collected data from a child under 16, please contact us immediately.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date. We encourage you to review this policy periodically.

14. Complaints

If you have concerns about how we handle your personal data, please contact us first. You also have the right to lodge a complaint with your local data protection authority.

15. Requests from Public Authorities

Sometimes governments, courts or law-enforcement agencies ask companies for information about the people who use them. We have a written process for these requests, and we follow it every time:

  • We review every request to check that it is legally valid, that it comes from an authority with jurisdiction, and that it names specific people and specific data.
  • We challenge requests that we believe are unlawful, overbroad or vague, and we ask for them to be narrowed or re-issued before we disclose anything.
  • We disclose only the minimum the request lawfully requires, and nothing else. Messages, recordings and transcripts are disclosed only under an order that compels them specifically.
  • We keep a record of every request we receive, the legal reasoning behind our response, and what was disclosed.
  • Where the law allows, we tell you first, so you can seek your own advice before any data is disclosed.
